Webx HR's asset manager allows companies to track assets within their company. An unlimited number of categories, types and instances can be created. Webx HR records an asset's life by recording its movements, repairs, who they are assigned to and such. This helps with an organisation's accountability and also when it comes to insurance.

Off circuit and asset usage

During the off circuit process, Webx HR highlights assets in the employee's/subcontractor’s possession - and requires a staff member to stipulate what has been returned. Companies can report on this information and, if needs be, charge the employee or subcontractor for missing assets.

Webx HR's asset manager is also great for companies looking to go green. By recording an asset's movements, a company can see how many are deployed and in storage. This can be used to help make decisions about whether or not to continue using an asset, or a company may decide to replace it with a more environmentally friendly option.

If an asset has been lost, is being repaired, is missing, etc, the status of the asset can be changed and requires a staff member to provide relevant information for the asset. These fields are unique based on the status the asset is being changed to. This can be useful in getting the staff member to provide some key information on what is wrong with an asset if the status is being changed to “Needs Repair”, for example.

If an asset has a related insurance document, purchase receipt or manual, these documents can be added to the asset as well as other assets - like a phone and a phone case - being paired together. This allows for all external information about assets that are related to each other to be paired up.

Webx HR’s asset manager has multiple top-level screens that can be used by a company to keep track of all assets. The top-level overview screen can be used to see key information on all assets, which can be filtered down to assets assigned to a specific site or staff member, as well as filtering the type of assets with a particular status, for example those that are being repaired or beyond repair. This can give the company a good indication of where and how all assets are being used, as well as how many are currently in stock.

Asset orders and reports

Simple steps to order assets and monitor previous asset usage

Outstanding orders can be assessed, reviewed and updated with their current status in order for a company to always keep track of new order requests. New orders can be submitted for a particular asset by a site and stipulate who these will be assigned to. Asset orders that have been processed can be updated by the warehouse that those assets are being sent from and can be updated by both the warehouse and the site receiving them. This way, the company can always keep track of where an asset is in the order process and, if an asset goes missing, staff can identify at which stage in the process this took place.

Webx HR’s asset manager also provides multiple reports via the Report Suite which can be downloaded with sufficient staff permissions. These can be used to review all the history of each asset including who they were used by. It can also give a full list of assets which can be filtered by the staff member issued that asset or the location of the asset.
